Office Policies & Forms
At Senders Pediatrics, our goal is to not only provide outstanding health care but to provide value to you, our patients and the families of our patients. To that end, we have developed office policies that make it easier for you to navigate the health care system in general and our office in particular. This section reviews some of the more common office policies. Specific information on record transfer, treatment of minors and non-discrimination can be accessed in specific sub-links.
- Scheduling and canceling visits:
We schedule well visits up to three months in advance. We pride ourselves on our availability to schedule ill visits 7 days a week. If, for some reason, you must cancel any type of visit, we ask that you give us as much time as possible so that we may use your child’s visit slot for someone else. There is a fee for missed visits.
- Scheduling multiple well-child visits:
Well-child visits take extra time. After more than two decades of experience, we have found that parental attention span wanes when too much information in processed all at once. So that we can give our full attention to every child, we ask that you schedule a well child visit for no more than two children at one time. If you have specific concerns about a particular child, beyond those of routine well child care issues, such as ADHD, chronic constipation or difficult to manage asthma, we will help you schedule another visit where we can fully address your concerns.
We receive many requests at the same time every year for the completion of camp and school physical forms. We want to serve you better! Please fax, drop off or send the form with a self-addressed, stamped envelope and we will be happy to process it directly. We ask that you give us two weeks to complete the form and insure that it is signed in the appropriate places.
We offer an expedited form service for a fee of $20 when forms are needed back more quickly than a week. Please let a Patient Services Representative know you need this service and we will be happy to accommodate you.
- Medications
Medications that require prior authorization take about a week to get processed by the insurance company after the request has been received. It is your responsibility to contact your insurance carrier with questions regarding the medications they cover. To ensure the safety of your child, an appointment is necessary when requesting to change medications.
- Insurance and Co-Pays
To reduce the number of errors and incorrect billing, please bring your current health insurance card to each visit. Sometimes we end up billing the wrong insurance company which means we end up billing patients for the full balance when the claim is denied. Please help us to make sure this doesn’t happen by providing us with your most up-to-date insurance information.
Your insurance company requires us to collect your co-pays in our office prior to seeing one of our health care providers. The co-pay is the responsibility of the patient or the patient’s family.
If your account has an outstanding balance, please be prepared to pay the amount due or to let us help you make arrangements for a payment plan while you are in our office and prior to seeing the provider. For your convenience, we accept checks, cash, Visa and MasterCard for co-pays and balances.
- No Show / Cancellation Policy
In an effort to decrease unnecessary expenditures and to contain our fees, we have implemented a No Show/Cancellation Policy for all of our patients. We appreciate how challenging a child’s schedule can be and are willing to understand one no show or same day cancellation without incurring a service charge. For second no shows and same day cancellations within a 24 month period, there is a $25.00 service fee that must be paid prior to scheduling any additional appointments. On your third no show or same day cancellation there will be a $25.00 service fee and we reserve the right to terminate the patient-doctor relationship at this time.
We understand that everyone might have an unforeseen event in which an appointment with us cannot be made. We only ask that you have the courtesy to call us at least 24 hours in advance to reschedule your appointment.
Please be assured that we want to run this office as efficiently as possible in order to provide you with the best care; and that this policy is in place to help us achieve that goal. We appreciate your understanding and cooperation in this matter.
- Flu Vaccine
During the months of October, November and December (while supplies last), we offer influenza vaccine to our patients from 6 months and up during specific “flu” clinics. Times for the clinics will be posted in the office and on our website.
We provide a injected flu vaccine (which is appropriate for younger children) or the inhaled Flumist (which appropriate for older children). Children with egg and chicken allergies cannot receive either of the vaccines.
Senders Pediatrics will not collect a co-pay at a “flu” vaccine visit because the vast majority of third-party payors cover the vaccine and do not require a co-pay. However, some companies, including some Medical Mutual policies charge a co-pay or do not cover Flumist. In those cases, the responsible parties must pay the full cost of the vaccine and will be billed by Senders Pediatrics.
